Job Audit Process

  • Request a job audit via the workForum internal site, available via the workForum channel in your Spectrum portal.

  • Once you are logged into workForum, the “Welcome Screen” appears.

  • Select Begin New Action under the section heading of “Position Descriptions” on the navigation bar.

  • Click on Start Action under the correct Reclassify/Retitle action, based on the type of position involved.

  • Once you have started your action, you must find the existing position you wish to modify. You may search positions by Employee name, Position Number, Title or Category.  You may also use a combination of these fields to help you search.

  • After locating the correct position, click on Start Action. After you have reviewed the Current Job Description and ensured that you are working on the correct position, proceed to the Proposed Title tab. Here, you will be able to propose the title to which you would like to reclassify this position, and indicate whether or not a posting needs to be created in addition to the reclassify request.

  • Proceed through all of the other tabs on the action.  A Job Description Questionnaire (JDQ) will still need to be completed by the requesting department and you are still required to obtain all appropriate approval authorities. (If you are requesting a posting of this position in addition to the reclassification, make sure to fill out the requisition form and posting specific questions tabs.)

  • When this action request is received in HR Compensation, an analyst will review your request, and perform all necessary actions associated with your request. If a posting is also requested, the HR Compensation analyst will forward the request to HR Employment for appropriate action. The approval of the Dean, Director, AVP or Vice Provost is required before this action can be processed. This should be the upper management person who reports directly to a VP or Provost.  (Special note to ACADEMIC AFFAIRS – On 9/24/04, the Provost announced that all job audit requests from areas reporting to him must come through his office before being sent to Compensation.)

  • It is the responsibility of the person submitting the request to communicate within his/her levels of management all particulars about the request. AVP's, Vice Provosts and Directors are expected to brief the VP/Provost.

  • Each request for an audit must provide information concerning the source of the funding for the position.

  • Each request for an audit must include the complete reporting relationship for the position, including the executive over the division.
